Executive Assistant to the CEO & Project Coordinator

Bachelor’s degree in business administration or public administration or project management or equivalent from well-established universities.

Around 7 to 10 years of experience within well-established big local or regional companies as Executive Assistant to CEO or Administrative Business Partner or Project Coordinator or Office Manager.

Good exposure to the digital world and to using AI Tools

Ability to prepare good power point presentation

Excellent writing skills: good spelling and grammar and drafting style

Ability to summarize complex information clearly

Advanced skills in Microsoft Office (PowerPoint, Word, Excel) and ideally modern presentation tools (Gamma.app, etc.).

Knowledge in basic accounting principles and budget monitoring is an advantage.

Excellent command of both French and English, written and spoken.

The Executive Assistant to the CEO & Project Coordinator will be the right hand of the President and CEO of the company. Main responsibilities will include:

  • Ensuring smooth and proactive administrative coordination for both entities.
  • Managing monthly, quarterly and annual reporting (dashboards, strategic presentations, performance indicators).
  • Drafting, proofreading and distributing internal communications for staff as well as external communications for clients, suppliers and partners.
  •  Preparing executive committee meetings, taking minutes and following up on action points.
  • Representing the leadership in selected internal and external meetings (clients, partners, service providers).
  • Supporting the preparation and follow-up of accounting and financial matters, in collaboration with the accounting firm and the finance team.
  • Producing high-quality, elegant and impactful presentations to contribute to the company’s brand image.
  • Handling confidential personal and strategic matters with absolute discretion.
